Identify each party’s role
Look through the terms and voucher for the company actually supplying the vehicle, collection location, booking reference and assistance contact. The brand of the website where you searched may differ from the company you meet at the airport desk. Olbia airport lists rental services, but your own booking documents identify the supplier for your reservation.
Write down the roles: who took payment, who issued confirmation, who provides the car and who handles a change request. One company may perform several of these functions, but do not assume that without checking. For each question, contact the party responsible for that specific item under the documents.
Compare the confirmation, voucher and terms
Keep the original confirmation, final voucher and rental supplier’s terms together. Check that the booking number, driver’s name, dates, selected times, vehicle category or group, collection location and card requirement match. A short voucher may refer to longer terms: read them in full, especially sections about deposits, documents, cancellation, fuel and drivers.
If you find a mismatch, do not decide on your own which document to ignore. Write to the intermediary, quote both versions and request a corrected voucher or explicit confirmation. If the difference affects collection requirements, ask the actual rental supplier too: the desk will check your documents and apply its conditions. Keep the reply with the updated voucher.
Ask a question that can get a precise answer
Instead of asking «is everything okay?», name the point you need checked: for example, whether a card in the main driver’s name is accepted for that category and security requirement. Include the booking code, dates, driver’s name and exact wording of the question, but do not send full card details. Ask who supplied the information and whether it applies at collection.
For licence and document requirements, consult the terms and the individual supplier’s guidance, then ask for confirmation if the country of issue, experience or document format is unclear. EU rental guidance says to read the applicable offer and responsibilities. An answer for one reservation does not automatically apply to another.
Keep the contacts accessible
Save the voucher for offline access and keep contact details for both the intermediary’s support and the rental company, if provided. Check which number to use for a flight delay, a missing vehicle or a change request; the process may differ by issue. Do not assume the airport desk can amend a contract made elsewhere, or that an intermediary can override the supplier’s rules.
Before purchasing other parts of the trip, review change and cancellation terms for the car and other services. If a card or document question remains unanswered, ask before paying or choose an offer whose requirements you can meet. A written record helps establish what was confirmed, but does not guarantee the outcome of a later dispute.
FAQ
Separating the booking seller from the company supplying the vehicle makes it easier to send each question to the right contact.
Frequently asked questions
Who should I contact if the voucher differs from my confirmation?
Write to the intermediary that issued the booking and request a correction or confirmation. If collection is affected, ask the supplier handing over the car too.
Can the Olbia desk change an online booking?
Do not assume so. Check the documents for the party handling changes and support; the desk applies the actual supplier’s conditions.
