Reopen the booking, not just the group chat

An additional guest changes a reservation made for a specific number of people. Before saying there is room, open the confirmation and check the registered occupancy, dates and change policy. An informal agreement among friends does not by itself amend the accommodation booking.

Contact the host or platform through the official reservation channel. State the new guest count and ask whether the change is authorised, what information must be updated and whether the total changes. A verbal assurance or an unrelated chat can leave the group without clear evidence if expectations later differ.

Occupancy, beds and shared space are separate checks

Authorised occupancy is the first limit to confirm; a photograph with spare chairs does not establish it. Ask how many guests may stay under this reservation and whether the host needs the added guest’s details. Send personal information only through the channel the host or booking provider requires; do not circulate reservation documents publicly.

Then clarify where the newcomer will sleep and how that arrangement affects everyone’s privacy. A sofa, a shared room and an extra bed are different arrangements. Ask what the accommodation actually provides for your dates. Do not assume extra bedding, storage or sleeping space that is not stated in the property information.

Recalculate the whole trip before buying a ticket

Any extra charge depends on the property, booking platform and length of stay; one rule does not apply to every holiday home. Ask for an updated total and the official payment procedure. Make sure the quote covers the same dates and guest count, with included charges identified, before the new traveller commits.

The new traveller must also plan their own route: baggage, arrival time, transfer from Olbia and meeting point with the group. If arrivals differ, agree who will coordinate. Do not assume a rental car or transfer can take an additional passenger without checking availability, capacity and the operator’s conditions.

Update details tied to the size of the group

Once the host approves the change, check that the reservation lists the correct guests and that you have the final amount in writing. Ask whether any arrival instructions change; replace old details only when the host confirms. Keep the updated confirmation with useful contacts, and do not forward access codes or identity documents to people who do not need them.

Check whether transport arrangements also need to change: the number of drivers, seats or vehicles may matter. A new passenger or driver can affect the rental agreement or insurance terms. Read the contract for the specific booking and ask the rental company directly. The original reservation may not cover a change to the people using the vehicle.

A clear decision rule for the group

Before the flight is purchased, confirm four points: the guest is accepted, the sleeping arrangement is clear, the total has been updated and the arrival plan works. If one answer is missing, tell the group exactly what remains unresolved. You can wait for the reply or keep the original plan, instead of leaving the new traveller to guess.
